Privacy Policy

This policy explains what Fresh Context, LLC collects through freshcontext.ai, why we collect it, who we share it with, and what you can ask us to do with it. "Fresh Context", "we" and "us" mean Fresh Context, LLC, a California limited liability company.
1. Who is responsible
Fresh Context, LLC decides how the personal information described here is used. You can reach us at sam@freshcontext.ai.
This policy covers freshcontext.ai, including private review links (freshcontext.ai/w/...), research previews, Work With Us, event booking pages, partner sign-in, our contact form and our newsletter. It does not cover work we do for clients under a signed agreement, which that agreement governs, or other companies' sites we link to.
2. What we collect
When you sign in with Google. Google sends us your name, your email address, whether Google has verified that address, your Google account ID and a link to your profile photo. We ask for nothing more. We have no access to your Gmail, Calendar, Drive or contacts. For research previews and Work With Us we keep your name and email address and discard the rest. Staff and partner sign-in run through our authentication provider, Supabase, which also stores your Google account ID and photo link. We do not keep Google access tokens or refresh tokens.
When you sign in with Microsoft or an emailed link or code. Microsoft sends your name, your work email address and your organization's tenant ID. With an emailed link or code we receive only the address you type.
What we look up about your company. When you sign in to Work With Us with a work address, we use your email's domain (the part after the @) to look up your company in the five places below. Event booking checks only the first three.
- In our own records, which hold companies we research or work with: public facts such as industry, size and announced events, and our own notes on whether we are a good fit.
- In our CRM (HubSpot), by your email address.
- In contact lists our team has exported from its own professional networks, to see whether you or colleagues already know us.
- With a company data provider (Deepline, using data from Crustdata), by domain only. It returns the company's name, industry, headcount range, type, founding year, headquarters and description.
- With an AI model (Anthropic's Claude) using web search, by domain and company name only, for the company's announced conferences, sponsorships and product launches.
For event bookings we also send your work email to the same data provider to confirm your name, job title, seniority and public professional profile. We do not look up companies for personal email addresses such as Gmail.
What you give us. The services and dates you pick on Work With Us, what you write there, your answers to our assistant, and the meeting time you choose. Your name, email, note, interests and marketing choice on our contact form. Your email address if you subscribe to our newsletter. Comments, notes and suggested quotes you leave on a review link. Anything you send us by email or say in a meeting. If you meet with us, we may record and transcribe the call to keep accurate notes.
What happens on a private review link. Each review link is made for one person. When you open one, we record each open and return, which tabs and sections you view, video plays, the comments you leave and which version of the page you saw. We tie that activity to the name and email the link was made for.
Cookies. We set first-party cookies only, and only for features you use.

We use no advertising or cross-site tracking cookies. We measure page views, page speed and a few clicks (a section viewed, a share, a form step) with Vercel Web Analytics and Speed Insights. Vercel Web Analytics sets no cookies: it counts visits with a hash of the request that it discards after 24 hours. The events we send to Vercel never include your name or email address. Some sign-in and preview pages load fonts from Google, which receives your IP address and browser details.
Server logs. Our hosting providers, Vercel and Supabase, record each request's IP address, browser, page and time to run and secure the service, and keep those records for a limited period they set. Partner sign-in also stores a keyed hash of a shortened IP address and browser string, to detect a stolen session.

Work With Us decides automatically whether to show our booking calendar at once, based on what we know about your company and what you write. If it does not, you can still email Sam directly, and a person reads every message.
We do not sell personal information. We do not share it for cross-context behavioral advertising, and we do not use Google sign-in information for advertising.
4. AI
Work With Us uses Anthropic's Claude in three places: to suggest services from what we know about your company, to read what you write and decide whether to offer the calendar, and to research your company's public events. It receives your company's domain and public details, any research we hold on the company, your job title if we know it, and the text you write. It does not receive your email address. Nobody reviews its output before you see it, so it can be wrong. We do not train AI models on your information, and Anthropic's commercial terms do not allow it to train its models on what we send.
5. Who we share it with
We share personal information with the service providers below, only to run the features described here.

We also disclose personal information when the law requires it, to protect our rights or someone's safety, or to a buyer if the business is sold. We share it with anyone else only with your permission.
6. Google user data
This section states exactly how freshcontext.ai handles information from Google sign-in.
- Access. We request the openid, email and profile permissions. They return your name, email address, email-verified status, Google account ID and profile photo link.
- Use. We use them to confirm your email address, sign you in, open your private research preview, address you by name, and start the company lookup in section 2.
- Storage. We store your name and email address in our database (Supabase, United States) and in a signed cookie in your browser. We discard the rest and keep no Google tokens.
- Sharing. When you sign in to a research preview, our team's Slack receives your name and email address. Work With Us checks your email address against our CRM. When you send an inquiry, book a meeting or reply to our assistant, HubSpot and Slack receive your contact details with it. If you are already a contact in our CRM, we add notes on your review-link activity to your record. We do not sell this information, use it for advertising, or send your Google email address to a data provider.
- Disconnecting. Open myaccount.google.com/connections, select Fresh Context and remove its access. Google will ask for your permission again if you sign in later. Removing access does not delete what we already hold, and signing out of our site only clears our cookie. To delete your information, email us as described in section 8.
7. How long we keep it
We keep personal information only while we need it for the purposes in section 3, then delete it or remove what identifies you. Cookies expire as listed in section 2. Company lookups count as out of date after 30 days and are refreshed the next time they are needed. We keep business correspondence for up to seven years for legal and accounting reasons.
8. Your choices and rights
Wherever you live, you can ask us to tell you what we hold about you, send you a copy, correct it, delete it, or stop using it for company research and our CRM. Email sam@freshcontext.ai from the address in question, or tell us how to confirm it is you. We answer within 30 days. When we delete, we delete from our database and CRM and remove our team's notifications that name you.
If you are in the EEA or the UK, you also have rights to restrict processing, to data portability, and to withdraw consent at any time without affecting earlier use. You can complain to your local data protection authority.
If you live in California or another US state with a privacy law, you may have the right to know, correct and delete your personal information and to opt out of its sale or sharing. We do not sell or share it, and we will not treat you differently for using these rights.

9. Security
We send everything over encrypted connections, sign our cookies so they cannot be forged, rely on providers that encrypt stored data, and limit access to our own team. No system is perfectly secure. If a breach affects your information, we will tell you as the law requires.
10. International processing
We are based in the United States and process information there and wherever our providers operate. When we transfer personal information from the EEA or the UK, we rely on safeguards the law recognizes, such as the European Commission's Standard Contractual Clauses in our providers' data processing terms.
11. Children
This site is for business professionals. It is not directed to children, and we do not knowingly collect information from anyone under 16. If you believe we have, email us and we will delete it.
12. Changes
When we change this policy we update the date at the top. If a change materially affects how we use information we already hold, we will say so on this site before it takes effect, and ask for consent where the law requires it.
